Site Notifications and Alerts

Alerts are notifications of changes to content on a site that you receive as email messages.

  • To view and cancel your alerts and change the settings for your alerts, you can use either the User Information page or the Manage Alerts on this Site page.
  • If you are an owner of the site, or have permission to manage a site, you can also view and cancel alerts for other users by using the User Alerts page.

Get alerts on item changes in SharePoint

You can get an alert whenever a file, link, or folder is changed in a SharePoint document library. Depending on the item (file, folder, link), you may see different options when you set an alert.

  1. Go to the list or library.
  2. Select the file, link, or folder for which you want to get an alert.
  3. From the list of options for the list or library, click the ... (ellipses), and then click Alert Me.
  4. In the Alert me when items change dialog, select and change the options you want.
  5. To save, click OK.

Get alerts on all changes in a document library in SharePoint

  1. Go to the list or library and make sure no items are selected.
  2. From the list of options for the list or library, click the ... (ellipses), and then select Alert Me.
  3. In the Alert me when items change dialog, change or fill in the options you want.
  4. Click OK.

View and cancel an alert for myself

  1. In the list or library where you've set the alerts, select the List or Library tab.
  2. Click Alert Me.
  3. Click Manage My Alerts.  
  4. In My Alerts on this site, next to the alert you want to delete, select the checkbox.
  5. Click Delete Selected Alerts.  
  6. Click OK.

As an Owner, view or cancel an alert for another person

  1. Click Settings
  2. Under Site Administration, click User alerts.
  3. To select a user, click Display alerts for.
  4. Click
  5. Next to the alert you want to delete, select the checkbox, and then click Delete Selected Alerts.
  6. Click

Technical Limitations

  • The alerts feature may encounter issues when combined with other features, such as the following:
  • Folders containing special characters.
  • Alerts/Views which filter on multi-value, lookup or calculated columns.
  • Libraries that require content approval.
  • Limit of 100 immediate alert emails per subscribed email address per minute across all list and libraries.
  • Daily alerts emails will include up to 25 activities on a maximum of 50 items per list or library.
