How do I create a SharePoint User Group?

The best way to control permissions within your site is to create User Groups. Without a permission group, you will have to change all of the affected users, when you change permissions. The following provides the steps involved in creating a permission group. 

  1. Click Site Actions.
  2. Click Site Permissions.
  3. Click on Create Group
  4. In the Name and About Me section, enter Name of Group in the Name box. 
  5. In the Owner section, enter the Group Owner's account name or, click on the book icon to locate the individual.
  6. Enter the Owner's Name or user name in the Find box. 
  7. Click the magnifying glass to search.
  8. When the results are displayed, click the owner's display name.
  9. Click OK.
  10. Best Practice: Give Ownership to the group to the Site's Owner group.
  11. In Membership Requests:
    1. Click Yes unless it is a closed Membership Group.
    2. For Auto-Accept requests, click NO unless you want to accept members in the group without review.
  12. In Give group Permissions to this Site, check the box next to the permission that you want to grant for this group.
  13. Click Create to complete the process.

Anonymous Access

Anonymous access means that people without an APAN account will be able to see your APAN SharePoint

Using Anonymous Access is NOT recommended by APAN. This is not an APAN Best Practice and is not good for the security of your SharePoint site, as anyone from any country can not only read/view the content, but also contribute and download what information that may be of interest to them. Do not use Anonymous Access unless you have consulted with the APAN Help Desk/Team.  

If your team is looking to use Anonymous Access, please consult APAN and a PUBLIC Site will be created for you.

Subsite Security Inheritance

All Sites and Site Collections allow the creation of subsites in their respective site collections. Site Collection Admins (SCA) and Subsite Site Owners should be aware of the dangers of security inheritance. APAN recommends breaking inheritance between a subsite and a parent site collection.
