Reminder to APAN Community Owners

The All Partners Access Network (APAN) promotes collaboration and information sharing with partners. It is not intended for use as a records management system.

The APAN Team routinely performs cleanup and maintenance efforts on APAN communities (Verint groups and SharePoint sites) to remove obsolete data. Don't forget to audit your APAN community to ensure compliance with APAN's Retention policy!

 

What is an inactive community?

A community (Verint group or SharePoint site) is deemed “inactive” when new content or files have not been posted nor uploaded within the last 2 years.

The term "content" refers to files uploaded as well as new or modified entries to applications.

  • Verint blogs, wikis, forums, etc.

  • SharePoint lists, libraries, calendars, etc.

Changes to the community's membership is not considered content and will not be taken into account when reviewing the community within the 2-year timeframe.

 

How does this policy affect users?

Inactive communities will be deleted by APAN after 2 years of inactivity. In the case of communities created for exercises, deletion will occur after 2 iterations.

  • All community membership, including owners, will be permanently removed.

  • All applications, pages, and content will be permanently removed.

  • Deleted communities cannot be restored.

  • Prior notification to community owners will not be provided.

What should owners do?

To maintain active APAN communities, owners are encouraged to:

  • Engage members by sharing relevant content (files, posts, updates) within the community.

  • Audit the community regularly (e.g., monthly, quarterly, annually).

  • Archive old content (files, posts, etc.) to an external system.

Once a community is no longer operationally relevant or needed, contact the APAN Help Desk to delete it.
