Manage Group Options or Settings

The Group Setup page is accessible through your Group.  The Group Options controls the basic group properties, such as group name and description, as well as:

  • Group avatars
  • Parent Group
  • Group Type
  • Enable Contact Form
  • Features

Group owners can move a group by changing its parent group.  Group owners can also change a group's type, such as from a Public type (open or closed) to a Private type (listed or unlisted), effectively changing the group's public content to private or vice versa.

The Group Options page allows group owner to turn on various widgets that do not allow. 

Group Setup

Group setup is now managed in the Manage group panel on the group home page.

  1. Navigate to the desired group.
  2. Mouse over Management.
  3. Click Manage group. The Manage group panel appears.
  4. Click Group Options. The options appear. (The following screen capture doesn't show the entire panel.)
  5. Fill in the following fields or select from the choices:
    1. Name - Name of the group. Choose a short but descriptive name. 
    2. Group avatar - An image that represents the group. If you don't upload one, the default avatar is used.
    3. URL - Letters, numbers, hyphens, and underscores are allowed. (No whitespaces.) If you don't fill in this field, Verint Community Server will fill in the group name using underscores for spaces.
    4. Description - The description is displayed below the group name. You are not allowed to use HTML markup. A typical use of the group description is to elaborate on the group name. This setting is optional.

How do I change my Verint community logo?

  1. Navigate to the desired community.
  2. As a group owner, click the pencil icon in the main community header.
  3. Click Manage Group
  4. Click Group Options
  5. Click change, edit file under Group Avatar.

APAN Options

APAN Options are additional settings that can be turned on and off to provide more collaboration for your community.

APAN Option Features

The APAN Group Options Features allows group owners to turn on and off various functionality within APAN.  Within this page, a group owner can turn on:

  • Chat - Enable Group Chat Rooms that are XMPP-compatible for group members
  • Connect - Enable Adobe Connect-based web conferencing.
  • Maps- Enable Mapping & GIS capabilities
  • Media Gallery Folders - Enable folder Features within Media Galleries
  • SharePoint - Enable SharePoint Features in a Group   

    SHAREPOINT FUNCTIONALITY IN TELLIGENT, UNDER APAN OPTIONS, WILL BE DEPRICATED WHEN SHAREPOINT IS UPDATED. 

    DO NOT USE SHAREPOINT FUNCTIONALITY WITHIN TELLIGENT. 

    IF YOU WANT TO USE A HYBRID APPROACH, CREATE TWO COMMUNITIES 1) TELLIGENT and 2) SHAREPOINT.  These communities will be separate and will function separately.

Turn on APAN Option features for chat, connect, maps, and media gallery folders?

  1. Go to Group's Homepage.
  2. Click APAN Options
  3. Click Features
  4. Select the group features & services you wish to turn on.
  5. Save. 

Group's Translation Settings

  1. Go to your group.
  2. Click More, select APAN Options.
  3. Identify the Automatically translate content section.
  4. Select an option:
  5. No Translation - If selected, content will not be translated.
  6. Third Party Translation - If selected, translation will occur by third-party software outside of APAN.
  7. APAN Translation - If selected, translation will occur  by APANs in-house software.
  8. Save.

Hide Email Notifications for my Group

  1. Go to your group.
  2. Click More. Select APAN Options, the Group Options page appears.
  3. Go to the Notifications tab.
  4. Check Enable / Disable notifications.
  5. Click Save

Hide Auto-subscribe New Members to the Selected Group Blogs

  1. Go to APAN Options
  2. Identify the Enable Group Application Subscriptions section.
  3. Select the checkbox next to the appropriate application you'd like new members to be auto-subscribed to.
  4. Save.

Managing Group Types

Summary

  • Anonymous users are considered anyone who has not logged into APAN.
  • By default, anonymous users can read content of a Public group.
  • Anonymous users should not be able to access content in private groups that once was public.

Can I change my group type?

As an owner, you can change the group type.  It is important to determine the Group Type when your community is first created.  Changing the group type is not something APAN recommends.

  1. Select the desired type. After you create the group, you can change this group privacy type, but doing so will reset any custom permissions that were set up in each application and apply the default permissions for the built-in group type. This includes roles added as group members. 
    1. Joinless - All content is visible to anyone via the Internet without requiring an APAN account. Membership is not tracked. Group permissions are managed using site-level roles. Joinless groups are managed by Owners. By definition, joinless groups do not have "members"; only owners who manage content.
      1. If you previously had another Group Type and have membership within that community, changing the COI to Joinless will remove all members.
    2. Public (Open membership) - Anyone with an APAN account can join this group as a member without an approval process, AND all content is visible publicly via the Internet without requiring anyone to log in. Community users can also see group members and activity. Additional group information is visible in the sidebar.
      1. NOTE: IT IS NOT AN APAN BEST PRACTICE TO USE THIS COMMUNITY. IF YOU SELECT TO CHANGE YOUR GROUP TYPE TO PUBLIC OPEN. APAN STAFF WILL LIKELY CHANGE IT FOR YOU TO JOINLESS OR PUBLIC CLOSED. PLEASE CONTACT APAN’S HELP DESK FOR MORE INFORMATION.
    3. Private (Listed) - Community users can see users and group activity, but can't participate in group activity.
    4. Private (Unlisted) - Community users can't see users or group activity.
    5. Parent group - Group where the group is located. 
  2. Enable contact form - Enables the Contact owners option for the Group - Links widget "Contact owners" button.
  3. Enable Messages - Enables group members to create new status messages on the Quick Post widget. This option is enabled by default when you create the group.

I changed my group from public to private.  I can still find media gallery content within a search engine.  What do I do?

When you change the group type from Public to Private, the system behavior is that the permission is controlled at the platform level, not at the individual file level.

This means that Media Gallery content may still be displayed publically.  To ensure the content is correctly displayed.

  1. Go to [Media Gallery] where the content is posted.
  2. Select Edit
  3. Go to Permissions Tab.
  4. Within the Role drop down, select Everyone.
  5. Ensure the proper permissions are set.
  6. You may need to do this for each group and subgroup for all of the media galleries.
  7. Refresh the page to ensure the setting takes place.
  8. Unfortunately, we cannot remove content that may be cached within a third-party search engine.  Please be patient; the content may disappear from the search engine in the next few days.

I am still finding content within third-party search engines.  What do I do?

This may be due to duplicative content.  Exercises that repeat from year to year, may have the content posted within a different community.

  1. Check to see if there are multiple copies of content within your group, or subgroups.  You can do this by searching APAN.
  2. If you find duplicative content within another group, contact the group owner(s) for that group where the content was found.
  3. If you cannot get a hold of the group owner(s), contact APAN Support.
