Travel Support (Windows-on-Science)

The AOARD Travel Support Program (Windows-on-Science) is used as a method to develop collaboration between investigators/potential PIs and scientists in the US at an AFRL technical directorate or at AFOSR. Such travel is usually done at the request of an AOARD or AFOSR PO, or an AFRL scientist. During the visit, the traveler will meet with interested scientists to discuss ideas for collaborative research; presentation of a research seminar is requested of the traveler. If approved, AOARD will provide the traveler with financial assistance to help defray the cost of their travel to the US. The final amount of money provided is limited by budgetary constraints.

 

In order to participate in the program, the traveler needs to complete information sections on a WOS Application form: Visitor, Employer, Visit, Presentation, Electronic Funds Transfer. The completed form needs to be returned to the PO in a timely manner as it generally takes several weeks to process the request.

 

Depending on available budget, AOARD may reimburse the traveler for costs within reason and within guidelines for US government rates for airfare (economy class), local transportation, and lodging/meals (including the departure day, meeting day(s), and day of the return trip). If the traveler provides an airfare cost estimate at the same time the forms are submitted, AOARD will determine if the amount requested can be approved; however, if no airfare cost is submitted, then the amount to be reimbursed will be based on the AOARD estimate of the cost. Any expenses incurred for travel to another location within the USA besides travel to the specific technical directorate or AFOSR will not be reimbursed. Such travel is allowed, but the traveler will need to do so at their own expense. Note, until officially notified that Invitational Travel Orders (ITO) have been approved, e-mail correspondence with the PO does not authorize purchase of any travel fares or making nonrefundable reservations of any type - doing so is at the traveler’s risk.
